How to Build a Client Management System in Notion

Step 1: Create a "Clients" database
In Notion, make a new database (a table works best to start). These are the fields every freelance CRM needs:
- Name — the client or company.
- Status — a Select property: Lead → Contacted → Proposal Sent → Signed → Completed.
- Email / Phone — contact info, so you never dig through Gmail.
- Website — handy for context and outreach.
- Country — useful if you work across time zones.
- Next Step — a text field for the single next action.
- Last Contacted — a Date field, so stale leads surface fast.
Step 2: Turn it into a pipeline
Switch the view to Board (Kanban) grouped by Status. Now you can drag a client from "Contacted" to "Proposal Sent" and literally see your pipeline fill up. This one view replaces most of what paid CRMs sell you.
Add a "Follow-ups" filter
Create a filtered view showing only clients where Last Contacted is more than 7 days ago and Status isn't "Signed" or "Completed." Check it every Monday. That's your weekly follow-up list — no extra tool required.
Step 3: Link clients to projects and income
This is where Notion beats a spreadsheet. Create a Relation from your Clients database to a Projects database, and another to an Income database. Now, clicking a client shows every project you've done for them and every dollar they've paid. You'll instantly spot your most profitable relationships.
Step 4: Capture leads without friction
A CRM is only useful if you actually use it. Lower the barrier:
- When someone inquires, create the client record immediately — before you reply.
- Use Notion's mobile app to add a lead on the spot.
