The Ultimate Notion Project Tracker Setup for Freelancers

"Where did that project go?" If you've said that this month, your project tracking isn't working. A good project tracker doesn't just list tasks — it shows budgets, deadlines, and billable hours at a glance, so you know what's profitable and what's quietly bleeding money. Here's the Notion setup that does it.

The fields that actually matter

Most freelancers track too little (just a name and a due date) or too much (a 30-column monster they abandon). The sweet spot is these fields:

Name — the project.
Client — a Relation to your Clients database (so the two stay in sync).
Status — Not Started → In Progress → Review → Completed.
Budget — the agreed total. This is your ceiling.
Actual Revenue — what you've actually been paid.
Hourly Rate — your rate for this project.
Total Hours — logged time.
Due Date — the deadline.
Priority — High / Medium / Low.
Progress — a percentage.

View 1: The board (your daily command center)

Group by Status as a Kanban board. This is what you open each morning. Drag projects forward as they progress. Anything stuck in "In Progress" for two weeks is a red flag worth a client call.

View 2: The money view (your reality check)

Add a table view filtered to Actual Revenue < Budget and Status not "Completed." These are projects where you're at risk of under-earning. Even better: add a formula column for Actual Revenue − (Total Hours × Hourly Rate) to see your real margin per project.

The insight most freelancers miss: A project can be "on time" and still lose you money if hours balloon. Tracking hours against the budget is how you stop doing $20/hour work at a $80/hour rate.

View 3: This week's deadlines

A calendar or filtered table showing projects due in the next 7 days. Plan your week around these instead of whatever email screams loudest.

Link time logs to projects
